At HotelClimb, we take your privacy seriously. This Privacy Policy explains how we collect, use, store, and protect your personal information when you visit our website, use our hotel management software platform, or contact our team. By using HotelClimb, you agree to the practices described in this policy.
We collect information you provide directly when you request a demo, create an account, or contact our support team. This includes your name, email address, phone number, hotel/business name, property type, and any messages you send us.
When you use the HotelClimb platform, we automatically collect usage data such as pages visited, features used, browser type, device information, IP address, and access timestamps. This helps us improve our software and provide better support.
If you use our hotel management software, the operational data you enter (guest records, billing information, reservations, inventory data) is stored securely and remains your property. We do not access, share, or use your hotel's operational data for any purpose other than providing the service.
We use your personal information to: provide, maintain, and improve the HotelClimb platform; process demo requests and respond to inquiries; send important service updates and security alerts; provide customer support and technical assistance; comply with legal obligations including GST and tax regulations.
We may send you marketing communications about new features, product updates, and industry insights. You can opt out of marketing emails at any time by clicking the unsubscribe link in any email or contacting us at hello@hotelclimb.com.
We use aggregated, anonymized usage analytics to improve our software, identify trends, and develop new features. This data cannot be used to identify individual users or properties.
HotelClimb implements enterprise-grade security measures to protect your data. All data is encrypted in transit using TLS 1.2+ and at rest using AES-256 encryption. We maintain complete data isolation between properties — no cross-tenant data access is possible.
Our infrastructure includes role-based access controls, comprehensive audit trails, regular security audits and penetration testing, automated vulnerability scanning, and 24/7 security monitoring. We deploy on secure cloud infrastructure with automatic failover and geo-redundant backups.
Our team members are bound by strict confidentiality agreements and undergo regular security training. Access to production systems is restricted on a need-to-know basis with multi-factor authentication.
We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following limited circumstances:
Service Providers: We use trusted third-party services for hosting (AWS), email delivery, payment processing, and analytics. These providers are contractually bound to protect your data and use it only to provide services on our behalf.
Legal Requirements: We may disclose information if required by law, court order, or government regulation, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
Business Transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of the transaction. We will notify you before your data becomes subject to a different privacy policy.
We retain your personal information for as long as your account is active or as needed to provide services. If you request account deletion, we will remove your personal data within 30 days, except where we are required to retain it for legal, tax, or regulatory compliance purposes.
Hotel operational data (guest records, billing, reservations) is retained for the duration required by Indian tax and GST regulations (minimum 6 years from the end of the relevant financial year). After this period, data is securely deleted.
Backup copies may be retained for up to 90 days after deletion to ensure disaster recovery capability.
You have the right to: access the personal information we hold about you; request correction of inaccurate data; request deletion of your personal data (subject to legal retention requirements); object to or restrict processing of your data; request data portability (receive your data in a structured, machine-readable format); withdraw consent for marketing communications at any time.
To exercise any of these rights, contact us at hello@hotelclimb.com or call us at +91 81693 68719. We will respond to your request within 30 days.
